No subscription: what continues, what stops and how to come back

Without a subscription, nothing of yours is lost: data, history, deliverables, plans, conversations and the CRM stay saved. What stops is what depends on the subscription — creating, signing and generating in Y Managers, Ask Orion, AI and the organization's AI manager —, and the deadlines that run on their own pause. This chapter puts those rules in one place; each screen's details are in its own chapter.

Who has no subscription

"No subscription" applies to the organization and to each person, and the two are not the same.

The organization has no subscription when nothing backs it: no payment in force (card, Pix for customers in Brazil, or contract), and no pilot, courtesy or trial under way. The Y Managers 14-day free period counts as a subscription.

A person has no subscription when nothing gives them access: no plan of their own, no Y Managers seat, and nothing the organization has (the free period, a pilot, a courtesy, a contract). In an organization that pays, someone without any plan has no subscription. The Admin of an organization that pays for a seat with the team dashboard (the Y Managers seat, a channel plan that includes the dashboard, an AI worker), or that is on a pilot, a courtesy or a contract, always has access. But if the organization only pays the plan of someone who works solo (Orion Light or, in Brazil, MEI and MEI+), the second Admin with no plan of their own has no subscription until someone gives them a plan.

On a plan without the team dashboard — Orion Light (outside Brazil, paid by card), the free Orion BYOK and, in Brazil, MEI and MEI+ —, Y Managers works as it does for someone without a subscription: open to read, edit and log progress. That applies after the organization's Y Managers free period: during it, everyone creates, signs and generates, whatever their plan. And the Admin of an organization that pays for the team dashboard gets through, whatever their own plan.

What continues

Your data and history. In Y Managers, reading, editing, deleting and logging progress — including inviting, importing and restoring people, adding and removing deliverables from a plan, requesting an adjustment, closing a deliverables plan, marking the tasks of a work plan and requesting a review of your own assessment. The decision of whoever receives a deliverable's sign-off link. The CRM, memory, knowledge, the Google and Microsoft connections and search.

In the box of a send Orion has already prepared, Approve (on a send that has a receipt) and Cancel keep working — Cancel also on a routine's box. Of the proposals and escalations waiting for a decision, approving what only sends or marks (a task allocation, for example) continues; approving what creates or signs in Y Managers — a renewal, a breakdown into tasks, an AI worker action that writes there — gets a 🔒. Refusing always continues.

What stops

What stops shows with a 🔒, without disappearing from the screen — the click states the reason and the way back:

  • creating, signing and generating in Y Managers, including submitting the cycle report, giving or adjusting feedback and deciding a review request;
  • Ask Orion, in the dashboard, in the app and on voice;
  • everything Orion would do for you with AI, and the automatic search for new prospecting contacts (enrolling and sending to whoever is already in the CRM continue);
  • in an organization without a subscription (or that only pays a plan without the team dashboard), the AI manager and the AI workers, which stay paused until it subscribes — see below.

Orion states the reason and the way back, and doesn't try again. Through your assistant's connector (Claude, ChatGPT or Grok) it is different: without a subscription, the connection stops answering — and comes back when the subscription does —, and on a plan without the team dashboard the Y Managers tools disappear from it.

The AI allowance and who pays for Ask Orion

The organization's management allowance — the one for the AI manager and for the Ask Orion of anyone without a channel plan — only exists while the organization subscribes: without a subscription there is no allowance at all, not even one agreed separately with the Orion team. During the Y Managers free period, the base and the share of each paid channel plan count (a channel's free trial doesn't add); Y Managers seats add once the organization pays — and, in an organization that pays only by Pix (customers in Brazil), only the ones the authorized amount covers.

In Ask Orion — in the dashboard, in the app and on voice —, someone with a channel plan (paid, as a courtesy or on trial) chats on their own quota, and on voice on the plan's minutes; a Y Managers seat and anyone with access but no plan of their own chat on the organization's allowance. One never covers the other. If your quota runs out, the chat says so — it comes back tomorrow, or when the month renews — and the Admins are not notified. Without a subscription, it answers with the reason and the way back.

Deadlines pause

In an organization without a subscription, nothing moves on by deadline: the cycle doesn't move on without a report, the automatic 3★ doesn't come in, a review request doesn't lapse, the cycle doesn't consolidate, the deliverable isn't approved by lapse, the report of the 1st isn't generated, the Situation isn't rewritten, the decisions in the queue aren't chased, and Orion concludes no pre-authorized act. When the organization subscribes again, each deadline restarts in full from that day. The calendar doesn't pause: the cycle and the plan start and end on their dates — which is why the renewal of an AI worker's plan is due when the plan ends, even without a subscription.

In an organization that pays, someone without a subscription isn't penalized either: the deadline that depended on that person is put on hold and restarts in full when access comes back. The details are in Work plans, execution and cycles.

The AI manager and the AI workers

While the organization cannot act in Y Managers — no subscription, or paying only a plan without the team dashboard —, the AI manager and the AI workers are paused. On the Orion → AI Workers Team page, a strip at the top says so ("⏸ This organization's AI manager and AI workers are paused", with the reason), and each worker gets the ⏸ paused badge. Nothing is lost: the workers, plans, rules and history are kept, and the work resumes on its own when the organization subscribes.

While paused, the AI manager drafts no assessment, composes no renewal or first plan, proposes no breakdown, theme or allocation, and sends neither reminders nor the AI team digest. A paused worker doesn't run — neither the daily run nor a delegation through chat: it turns it down saying its name and that it is paused, without spending anything from its allowance, and nothing is logged as an error.

In the Governance approval queue, Approve & run on an action that creates, signs or submits the cycle report in Y Managers — or that approves or requests sign-off on a deliverable — shows with a 🔒, and approving it through the conversation doesn't run anything either: the action keeps waiting, and Reject still works. The link for an AI worker's overdue renewal only goes to someone who can approve it, and in an organization without a subscription this chasing pauses. While a cycle's assessment deadline is on hold (the team's managers without access), Orion doesn't even draft the proposed assessment. And, if whoever hires a worker has no subscription in Y Managers, the worker is hired without the sample's starting deliverables, and the notice says why.

Someone with a subscription of their own

Someone with a channel plan they pay for themselves, an individual courtesy of a channel plan, or still on the channel's free trial keeps their own access in an organization without a subscription: the channel, Ask Orion and voice go on with their own quota, and so do creating and signing in Y Managers, if the plan includes the dashboard. What the organization pays for — the AI in Y Managers, the AI manager, the AI workers — and the deadlines follow the organization.

When the channel's free trial ends, or you cancel

Orion warns you before the channel's free trial (WhatsApp or Telegram) ends — and, if you ran out of time, just ask it for 7 more days (once). That request extends the channel trial, not the Y Managers free period.

Without subscribing, the channel stops: Orion no longer handles requests on WhatsApp or Telegram. While the organization's Y Managers free period lasts, Y Managers and Ask Orion carry on; after it, the rest of this chapter applies — the account lands in the No subscription state, and Y Managers stays open to read, edit and log progress. (There is no longer a "free plan" at this point: someone who did not subscribe is not on a plan, they have no subscription — and the screen says exactly that.)

The channels do not drop at the same instant. The WhatsApp connection is undone after a two-day grace period, and the same grace period applies when a paid subscription is canceled.

"The channel stops" is literal: work requests through the channel — reminders, scheduled routines, CRM lookups — are no longer carried out, and anyone who writes gets a short reply saying the plan ended and where the data is. The morning and end-of-day briefs continue (see What it does without being asked).

One conversation stays open: coming back. Talking about price, plans, renewal or payment goes through normally, and you can resubscribe right there, without opening the dashboard. If you'd rather use a set phrase, reply "I want to continue".

Once the two-day grace period has passed, your dedicated number is switched off — so the conversation happens through the Orion support number instead of yours.

Nothing is lost in this process: your data, your history and your automations stay saved, and the number is still yours — only its connection to Orion is undone. When you resubscribe, you connect the channel again and pick up where you left off.

When a paid subscription stops counting

On a card, a declined payment has a 7-day grace period, counted from the first failed charge; once it passes without the payment being settled, the subscription stops counting. On Pix Automático (customers in Brazil), the paid period runs to its end; if the next charge doesn't land, access goes on for 12 more days and, after them, the subscription stops counting — whoever depended on it is left without a subscription, and the WhatsApp connection is undone 2 days later.

For customers in Brazil, a first authorization by Pix unlocks access right away, like the card, and waits for the first debit until the day of the first charge: if it doesn't land by then, access is suspended; if the bank debits later (it tries for up to 7 days), access comes back on its own — only the WhatsApp QR connection, if it has already been undone, needs to be paired again. The cut of the organization's Pix doesn't reach someone who pays their own plan through another Pix; and whoever it removed comes back when that same Pix charges again, or with a new authorization whose amount covers the organization's bill.

The notices

When the organization is left without a subscription — at the end of the Y Managers free period, of the account trial, of the pilot or of the courtesy, when the Pix payment (for customers in Brazil) doesn't arrive in time, or when the card's 7-day grace period is over —, an Admin gets a notice, by email and, when the official number can reach them, also over WhatsApp. It says what keeps working, what stops, that the deadlines are paused and what the way back is. For Pix, it also says that the WhatsApp connection of whoever had the plan through it is undone 2 days later, and where to connect it again. At the end of a pilot or a courtesy, the way back is to arrange what comes next with the team, by replying to the notice. It is one notice per loss: when the end of the free period was waiting on a pilot, a courtesy or the card's grace period, the notice is the one for that end — two don't arrive. And it goes, preferably, to the billing manager, who has the buttons for the way back on the Billing page. The notices only go to an organization that has actually used the platform — with a signed deliverables plan, some use of Orion in the last 30 days or a connected channel.

When the organization has a subscription again — because it paid, or got a pilot, a courtesy or a contract —, the Admin gets another notice: the deadlines that were paused restarted that day, in full, and, if the acceptance link of a deliverable under review expired during the pause, a new one has to be generated on the deliverable. After a Pix pause of more than 2 days, it also reminds you to connect WhatsApp again in Orion → Connection. If what it pays for doesn't include the team dashboard (only someone's Orion Light or, in Brazil, MEI or MEI+), the notice says that instead: the channel and Ask Orion come back for whoever has a plan, and creating, signing and generating, the AI manager and the AI workers need a plan with the dashboard, on the Pricing page. The notice at the end of the free period of such an organization says the same.

In an organization that pays, someone without any plan only reads, edits and logs progress. That's why, at the end of the free period, at the end of a pilot or a courtesy in an organization that keeps paying, and on the way back, the notice to the Admin says how many people are in that situation — and that the deadlines that depend on them are on hold until they have a plan, which is assigned on the Billing page.

The way back

The button with the 🔒 states the reason and brings the shortcut: the Admin sees Subscribe, which leads to the Billing page; everyone else reads that subscriptions and plans are handled by an Admin — that's who to ask; someone on a plan without the team dashboard sees See the plans; and someone who can still start the Orion free trial sees Start the free trial, which leads to Orion → Connection. On the Y Managers pages, a strip at the top says the same thing once.
